How we handle what you send us.

Novatib Ltd is the data controller for information you provide through this site.

What we collect

The enquiry form collects your name, role and work email address, the name of your organisation, and the information you give about your product. Documents you send us afterwards by email are held with the enquiry; they must not contain patient-identifiable data, and we check them for it before they are processed. We do not use cookies for tracking and we do not collect telephone numbers.

Why, and on what basis

We use the information to reply to your enquiry, to prepare a preliminary hazard list and quote, and, if you engage us, to carry out the work. The lawful basis is our legitimate interest in responding to an enquiry you have made and, once engaged, the performance of the contract with your organisation. We do not use your information for marketing and we do not sell or share it.

Where it goes

The form is delivered to us by email through Resend, which processes it in the European Economic Area, and the site is hosted on Vercel. Product documentation you send us is stored encrypted in London, on Vercel, and the records of your enquiry are held on Neon, also in London. To prepare the preliminary hazard list we send the documentation and the enquiry, but not your contact details, to two model providers, Anthropic and OpenAI, in the United States, under commercial terms that forbid its use for training any model; each deletes what it receives within thirty days. All five act as processors under written terms, and the transfers to the United States are made under data processing agreements that include the standard contractual clauses and their UK addendum.

How long we keep it

An enquiry that does not become an engagement is deleted ninety days after our reply, with any documents sent with it and everything derived from them. Records of an engagement are kept for six years after it ends, as professional records.

Your rights

You may ask for a copy of the information we hold about you, ask us to correct or delete it, or object to our use of it, by writing to contact@novatib.com or by replying to any email from us. You may complain to the Information Commissioner’s Office if you are not satisfied with our response.
